Thank you for considering attending TRENZ 2012.
Companies wishing to exhibit at TRENZ 2012 must fit the Exhibitor criteria as stated below and are required to complete and submit an online application form before 1 December 2011, 5pm (NZ time). By submitting the application form the named applicant agrees to the Exhibitor terms and conditions.
Application acceptance preference will be given to applicants who:
- meet all Exhibitor criteria
- have an established track record of TRENZ attendance – however this may be relaxed in the case of new products or developments (see 3 and 4 below)
- include TRENZ as just one element of an international sales and marketing programme
However, meeting the criteria in no way guarantees acceptance and all applications will be reviewed by the Exhibitor Selection Panel, comprising of a representative from each of the following organisations:
- Tourism Industry Association
- Tourism New Zealand
- Regional Tourism Organisations New Zealand
- Inbound Tour Operators Council
- Maori Tourism Council
Acceptance is at the discretion of the panel at all times.
The criteria below are subject to change with no prior notice, at the discretion of the organiser.

1. General criteria to exhibit at TRENZ 2012
- Be a New Zealand-registered company, with a New Zealand product, New Zealand contact address (in particular for all TRENZ correspondence) and is an organisation that pays income tax in New Zealand.
- Promote and display New Zealand products and services only at TRENZ (including in exhibits and materials - e.g. the TRENZ biography).
- Have tourism as the significant and predominant focus of their business.
- Be in business at the time of application with product ready for immediate use by international visitors.
- Have a quality product or service suitable primarily for purchase by international Buyers. ‘Suitability’ is determined by evidence of an established track record of delivery to exceed the expectations of international visitors.
Preference is given to products with:
- formal quality assurance such as Qualmark
- environmental sustainability accreditation such as Qualmark Green or ISO 14001
- established tracking of visitor satisfaction via research
- operators with a sound track record of tourism business management
- a high level of Buyer appointment requests at previous TRENZ events or are new to TRENZ
- appropriate and realistic product positioning given what is delivered (e.g. not overselling as ‘luxury’ when it is merely ‘upmarket’, ‘character’ or ‘boutique’; not claiming as ‘sustainable’ or ‘eco’ when simply a few light bulbs have been changed and rubbish recycled)
- Hold current and appropriate operating licences for your business (e.g. land-based transport operators must hold a Passenger Service Licence issued by the Land Transport Safety Authority, organisations operating on Department of Conservation or Auckland Regional Council land are required to hold the appropriate concessions, establishments selling liquor must have a liquor licence)
- The ability to provide Buyers with confirmed rates for a minimum period of 18 months after TRENZ and are prepared to pay commissions of up to 30%
- A programme of international sales and marketing of which TRENZ is just one element of
- Have internet, website and email capabilities
- Be in a stable financial position. Should the need arise to check on the financial standing of individual companies, checks will be made via accepted agencies. Adverse findings of such a check will be referred to the applicant for comments before a final decision is made
- Have no outstanding debts relating to previous TRENZ events or with the Tourism Industry Association or the Tourism Industry New Zealand Trust. Any outstanding debts must be paid in full prior to the online Exhibitor application for TRENZ 2012 being accepted by the organiser
2. Additional Criteria to exhibit with a double appointment stream at TRENZ 2012
Suitable for larger organisations that promote two or more products under one brand name, for example major accommodation providers, attraction groups and transport providers. An indication of required annual turnover for this booth type is $750,000 or greater.
Additionally the organisation should:
- Complete other international sales and marketing activities
- Have more than one product in the international market
- Have more than five full time equivalent (FTE) staff
- Have been in operation for more than 4 years
- Have attended TRENZ a minimum of 3 times
and
- If they were a single booth holder previously, they have had more than 35 appointments pre-scheduled and more than 50 Buyer appointment requests on average in the past 2 years ; or
- If they were a double booth holder previously, they have had more than 70 appointments pre-scheduled (total over 2 streams) and more than 50 Buyer appointment requests on average in the past 2 years.
3. Additional criteria for New Exhibitors at TRENZ 2012
To qualify for a “New Exhibitor” booth, the applicant or his/her product must:
- be new to the international market (between two and five years since release/opening) and
- be a first time Exhibitor at TRENZ and
- have completed at least one other international marketing initiative and
- be market ready (e.g. Qualmark licensed) at the time of application
Please note that the organiser may request references from your local Regional Tourism Organisation (RTO) at time of application as well as additional information such as:
- opening date/planned opening date
- rationale/point of differentiation for new product
- marketing plan information
- expected visitor numbers
- industry track record/creditability of key personnel
4. Criteria for New Product emphasis at TRENZ 2012
For established organisations who do not meet the New Exhibitor Booth criteria, there is an option to highlight the presence of new product (such as a new tour option). Applicants should highlight this in their application.
To qualify showcasing ‘new product’, this product needs to:
- be less than two years old at time of registration and
- not have been promoted at TRENZ previously and
- be market ready (e.g. Qualmark licensed) at the time of application
A new product does not include:
- Improvements/renovations – i.e. hotel upgrades, additions of rooms etc
- Name change/New ownership
In case the product is under development and due for launch in 2012, please note that the organiser may request references from your local Regional Tourism Organisation (RTO) at time of application as well as additional information such as:
- launch date/planned launch date
- rationale/point of differentiation for new product
- marketing plan information
- expected visitor numbers
- industry track record/creditability of key personnel
5. Additional criteria for Shared Booths at TRENZ 2012
Exhibitors may choose to “share” their booth and appointment schedule with other operators.
An application to the Exhibitor Selection Panel for a shared booth may be made by a lead company who would like to represent companies or products (by company or product name) on one booth on the following basis:
- the products or brands are complimentary and suitable for Buyer presentation together
- the companies or products are able to share a single appointment schedule
- evidence of the companies/products having been promoted or marketed together where possible
- Where multiple companies attend with TIA members and TIA non members sharing a booth, invoices will be sent to each company and the fee payable per company will be worked out on a pro-rata basis
- For example: A single booth with 2 products. 1 of whom are TIA members, 1 is a non TIA member:
- 1 member will be charged half member rate for single booth
- 1 non member will be charged half non-member rate for single booth
The same will apply for additional purchases.
- The primary delegate of the lead company
- Agrees to the TRENZ Terms & Conditions and Criteria on behalf of the co-exhibitor
- is financially responsible for the Exhibitor’s TRENZ attendance
- is the main point of contact for all TRENZ communications
- is responsible for the online appointment process
- is the one who will be able to request additional purchases, will receive all invoices
- The primary delegate will need to detail all products/companies in the biography (150 words maximum) and marketing information
The application process for sharing a booth is as follows:
- The lead company will need to submit the main TRENZ online application
- Once the lead company has completed the main TRENZ online application form they will need to contact Colin Yonge from TIA Events on colin.yonge@tianz.org.nz and request a separate online application form for the co-exhibitor to complete.
- The two online application forms will need to be submitted by 2 December, 5pm.
Please note: The Exhibitor Selection Panel reserves the right to approve or decline shared booth.
Organisations participating in a shared booth will receive:
- One shared appointment schedule with a total of 51 appointments (it is not possible to split appointment schedules)
- Standard booth inclusions apply as detailed here
- An individual contact listing for the booth share organisation will appear in the printed Exhibitor Directory including:
- Organisation name, delegate’s name, title, address, phone, fax, mobile, website, email address and affiliations (e.g. TIA, Qualmark) and shared biography
- On request, the co-exhibitors booth share organisation’s name will be printed on the delegate pass instead of the booth holder name
- One shared fascia booth signage with a maximum of 25 characters
6. Additional criteria for Regional Tourism Organisations & Regional Marketing Clusters at TRENZ 2012
- Regional Tourism Organisations (RTOs) are required to be officially recognised as an RTO and be a member of TIA at time of application to be accepted to exhibit at TRENZ in this product category. They may exhibit with or without appointment schedules.
- Other regional marketing clusters – including District Tourism Organisations (DTOs), Maori Regional Tourism Organisations (MRTOs) and Major Regional Initiatives (MRIs) – may be considered for attendance with or without an appointment schedule
- Regional organisations that are not official RTOs should outline in their company biography, or in accompanying materials, a full list of all products that will be represented at TRENZ
- RTOs as well as other regional marketing clusters need to:
- formally represent more than five ‘market-ready’ (and ideally Qualmark-rated) products
- represent products that are not already represented at TRENZ either individually or by an RTO/marketing cluster
- show a history of other international marketing initiatives
7. Additional criteria for National Marketing Clusters at TRENZ 2012
- National marketing clusters – including accommodation marketing groups, tourism marketing groups – may be considered for attendance with or without an appointment schedule
- Marketing clusters should outline in their company biography, or in accompanying materials, a full list of all products that will be represented at TRENZ
- In applying marketing clusters need to:
- formally represent more than five ‘market-ready’ (and ideally Qualmark-rated) products
- represent products that are not already represented at TRENZ either individually or by an RTO/or other marketing cluster
- show a history of other international marketing initiatives
As in 2011, leading luxury travel and tourism operators are invited to apply for TRENZ and will have the option of being located in the luxury tourism area of the event. Buyers specialising in the luxury travel market will be invited to attend TRENZ – the TRENZ appointment scheduling system offers luxury attendees the opportunity to manage their TRENZ schedule to focus on their areas of interest, ensuring a week of focused meetings.
The breadth of luxury in New Zealand was demonstrated at TRENZ 2011 with almost all previous PURE LUXURY New Zealand Exhibitors either in attendance or represented. We expect some areas of Queenstowns varied portfolio of activities to compliment PURE LUXURY New Zealand Exhibitors.
